Talentful helps large tech organizations hire successfully by combining expert consultants, a proprietary AI hiring platform, and the world’s largest in-house recruitment community. The company has placed candidates in over 80 countries, partnering with leading tech firms like Atlassian, Alphabet, Expedia, and Microsoft.

Operating at this scale means that the Talentful team creates, negotiates, and finalizes sales agreements in large volumes. To accommodate this growth the legal and operations functions needed a more efficient way to manage these contracts while keeping the team lean.

The challenge: a slow and opaque contract process

Before implementing Juro, Talentful relied on several different tools and a fragmented contract process to get new agreements over the line. 

According to Jessica Zwaan, COO at Talentful, a typical contract process followed these stages:

  • When a deal reached the contracting stage, a sales rep would reach out to the legal and ops team to request a contract.
  • The contract owner would pull a template from Google Drive, copy and paste the relevant sections, and manually update it with details captured in the CRM.
  • The contract was then sent to the counterparty via email for redlining, leading to multiple versions of a Word file being exchanged.
  • Once the terms were finalized, the contract was signed using a third-party eSigning tool.

“When I reviewed our contracting and funnel performance, I noticed the process was long and opaque. It took 24 to 48 hours to send a contract, which didn’t make sense given how standardized and frequently shared they were.”

“We also had issues with version control,” Jessica adds. “People sometimes downloaded old templates and used outdated terms, which invites risk. We found contracts we’d sent with terms we wouldn’t have agreed to if we had a better system in place.”

The requirements: what did Talentful need?

Talentful needed an intelligent contracting solution that could keep up with their fast-moving sales process. The organization required:

  • A connected platform that connects seamlessly with their CRM, reducing the time spent manually inputting deal data into contract templates and accelerating the process of sending agreements to potential clients.
  • Standardized contract versions and terms, ensuring compliance with agreed standards while allowing teams to intervene when agreements deviated.
  • Increased visibility into contract lifecycles and statuses, so teams spent less time chasing updates and could track progress effortlessly.
  • A streamlined process that moved documents out of email inboxes and into a single source of truth, improving efficiency and reducing risk.

The solution: a contract tool that integrates seamlessly into existing workflows

Having previously found success with Juro in a previous role, Jessica and her team selected Juro as their new contract management solution. 

They integrated Juro with HubSpot, enabling the business to manage contracts directly from the CRM.

This dramatically streamlined the process of creating contracts. Instead of waiting for the legal team to create a sales agreement from scratch, a contract is generated automatically when a deal progresses to a certain stage in HubSpot, with all of the right information populated at the right time.

“Now, all the sales team need to do during the contracting stage is select a template and check that the information populated in the template from HubSpot is correct,” says Jessica.

“That means they can leave a pitch and have a contract sent out within ten minutes, not two days. That’s a big win considering the most dangerous part of a sales cycle is when the prospect is waiting to receive more information from you.”

Talentful also integrated Juro with Slack, meaning notifications about the status of a contract are shared in the messaging platform automatically. 

“The Slack notifications are great,” says Jessica. “I love the fact we can get a real-time pulse on the redlines and the conversations happening.” 

“This visibility in Slack is also great for the Sales team as they have a clear understanding of where a contract is in its lifecycle and what is happening during the redlining process. So much of our workflow is Slack-native, and reps don’t have to chase us or leave the platform to get this information.” 

Jessica also shares how she uses the Kanban view in Juro to reduce bottlenecks or blockers in the contract process. “Every day I can log in and check what requires action on my end. This view is also useful for the wider team as they can check the status of an agreement and what the last modified date is,” Jessica says. 

Jessica’s team has since expanded their use of Juro and created several different workspaces to accommodate this increase in adoption. “We now have various workspaces for different agreements throughout the business,” says Jessica.  

The results: sales contracts sent out in minutes, not days

Embedding Juro in the systems the organization already use and trust has enabled the commercial team to self-serve on contracts, which reduces contract turnaround time from days to minutes.

“Nobody wants the legal or operations team to be a bottleneck to new business and growth. With Juro, there’s no reason for us to be. The team can go from conversation to contract in a couple of minutes. Previously it took days,” Jessica explains.

Using Juro has also helped Talentful to improve visibility into their contract process and remove bottlenecks that were previously hindering growth. 

“The visibility Juro provides has also enabled us to create a legal objections document and prepare responses to typical points of friction,” shares Jessica. 

“We can also track activity data and pull insights that make operational fixes much easier. For example, we’ve managed to reduce our time-to-sign down from 11 days to just three. Downstream, we have better visibility, and that allows us to make decisions faster.”

“I would definitely recommend Juro, particularly if you’re operating with a lean legal team that has to cover a lot of ground,” says Jessica. “The biggest thing Juro has helped us to achieve is that we’ve been able to stretch the legal team to cover more ground without that feeling increasingly stressful.”
